Hi everyone,

I’m designing an approval dashboard and need end‑to‑end visibility on every step of the workflow. When a user clicks “Mark as Done,” I’d like to capture:

  1. Who completed the task and at which workflow level

  2. Which tasks are still pending and the personas responsible

  3. Overall progress and potential bottlenecks across the entire process

Can Pigment’s built‑in Workflow feature surface this information (e.g., through metrics, status boards, or conditional formatting)? If so, what’s the recommended setup to track these states in real time?

Thanks for your guidance!

Hi @Spandan98,

Marty from Pigment Product Support. Happy to help you with this.

The short answer is yes, you can surface information about Tasks and Workflows in a few different ways in Pigment. These boil down to three basic approaches:

  • Since Workflows are based on Automations, you can view the status and record of various Workflow tasks using the History panel of the Automations section in the Settings of your Application.
  • Since Automations and Tasks require Trigger Metrics to function, those data from those Metrics can be used in ancillary Metrics (by leveraging metric formulas) that will relay the various states and progress of those triggers. That data can then be visualized on Boards to create Task Management dashboards.
  • Finally, Task data can be surfaced using the Audit Logs API in order to export data to an external reporting platform, where the data can be transformed to suit your reporting/managerial needs.

How you decide to approach managing Task data will be highly specific to your model and use case, but it may be helpful to start with some of our Community articles on the three subjects above to decide which approach is most practical for you. See below for some articles to get you started.
