Workspace administrators should select which Metrics are accessible by Pigment AI, configure Block settings and write predefined ‘suggested prompts’.

 

Select your Metrics

 

The Data Assistant only reads the Metrics you specify. It is essential that you configure your Workspace based on the below guidance.

 

To select which Metrics are accessible by the Data Assistant, you first need to allow bulk editing of Metrics:

  1. Go to your Workspace and select Settings in the sidebar.

  2. Select Advanced features under Account Settings.

  3. Toggle Edit Metric structure in bulk to On.

Then select which Metrics you want AI to access, for all relevant Applications. Note: this requires Configure Blocks permission:

  1. In your Application, select the three dots at the bottom of the sidebar.

  2. Select AI Customization from the dialog that appears.

  3. Select Enable Metrics.

  4. Select the checkboxes by the Metrics you want to allow the Data Assistant to see, followed by Enable.

 

Should you choose too many or need to make Metrics invisible to AI, do as follows:

  1. Open the Blocks dropdown in your Application’s sidebar, and select All Blocks.

  2. Select the Metrics tab.

  3. Select the checkboxes by the Metrics you want to hide from the Data Assistant.

  4. From the toolbar that appears along the top, select Toggle AI Search to de-activate your selection. On smaller screen resolutions, you may need to collapse the sidebar to see it.

 

Tips for selecting Metrics

  1. Focus on the Boards most used by Members.
  2. When choosing Metrics, ensure that they:
    1. align with current goals or KPIs
    2. directly relate to the prompts that Members are likely to enter
  3. Select only those Metrics.

    IMPORTANT: Avoid selecting all Metrics.
    This may cause the Data Assistant to return results from irrelevant Metrics.

  4. Remove Metrics that capture similar data points.
  5. Avoid Metrics that contain calculations. For example, avoid those with calculations for Last Year’s Revenue or Target Growth.
  6. You can only select Metrics with data type Number or Integer for use with Pigment AI.
  7. Ensure the chosen Metrics’ names are not too technical, and do not describe the data contained using syntax such as ‘by’. For example, avoid “Revenue by function” as a Metric name. 
  8. While AI cannot access Dimensions directly, you can refer to Dimensions that are used by your Metrics.
    For example, in the case of the following prompts:
    • “What’s the total budget for each cost center?” - the Data Assistant can help
      BUT
    • “How many cost centers are there?” - the Data Assistant cannot help

Add AI Descriptions to Metrics

 

The Data Assistant uses the Metrics’ AI Descriptions to help choose the best Metrics for the prompt entered. AI Descriptions are especially important when the prompt uses a word that isn’t found in the Metric name or where Metrics have similar names. If you find the Assistant is not returning relevant results, this could be the cause.

To fix this, for each Metric you made AI-accessible:

  1. In your Application, select the three dots in the sidebar beside the Metric name.

  2. Choose Settings from the dialog that opens.

  3. In the General tab, under Details, fill out the field AI Description.

  4. Select Save.

 

Tips for writing the AI Description

  1. List synonyms Members might type in:

    Metric name AI Description
    Opportunities sales qualified leads, opps, pipeline, leads                               

     
  2. Spell out abbreviated Metric names:

    Metric name AI Description
    NEX Rev revenue from Nexus database                                                    

     
  3. Differentiate Metrics with similar names:

    Metric name AI Description
    Churn_Cust number of customers that have churned                                 
    Churn total revenue that has churned

 

Prepare your Workspace

 

Your Application’s default settings for formatting and summing should be updated. Below are descriptions and links to guidance on them:

Setting to change Why the change is needed
Default formatting Define how the Data Assistant presents your numbers and other data in the Metrics that are accessible by AI.

Change the default aggregation method for Dimensions that should not be summed (e.g. cumulative measures or dates).

Create Suggested Prompts

 

Workspace administrators can predefine suggested prompts that appear when using the Data Assistant. These help Members start their discussion with Pigment.

Different prompts can be set to appear in different contexts. When you first open the Assistant, you can define up to four Application-level prompts:

  1. In your Application, select the three dots at the bottom of the sidebar.

  2. Select AI Customization from the dialog that appears.

  3. Under Suggested prompts, select + Add suggested prompts.

  4. Write your prompts in the four fields provided and select Save.

 

Soon, you will be able to define prompts that appear at Metric-level. These are presented when Members open the Assistant with an AI-accessible Metric open. 

Here’s how:

  1. In your Application, select the three dots at the bottom of the sidebar.

  2. Select AI Customization from the dialog that appears.

  3. Under Prompt suggestions per Metrics, select + Add prompts by each Metric.

  4. Write your prompts in the four fields provided for each Metric and select Save.

 

Tips for writing suggested prompts

  • Check the prompts are specific to your Application. I.e. if the Application relates to your workforce, include prompts on headcount, compensation cost, hire dates, etc.
  • Try to cover the functionality available. I.e. “What’s my total compensation cost by country?” “What’s my headcount difference by cost center from 2022 to 2023?”. See Sample Data Assistant Prompts for different ways to use the Data Assistant.
  • Test your prompts to ensure they return good answers, as Members will use them the most.
